Follow-ups

A follow-up sequence sends your client reminder emails after you send a proposal, and stops when they sign or decline.

Setting up

Follow-ups are available from the Pro plan.

  1. Edit your sequences in Settings → Follow-ups. Each step has a day, a condition, a subject and a body.
  2. In the editor, before you press Send, turn on Enable automatic follow-ups and choose a sequence. The workspace's default sequence is preselected.
  3. Declario sends each step to the client's email address, with a button that opens the proposal and your email address as the reply-to.

The default sequence

Every workspace starts with this default sequence. You can edit it, but not delete it.

Conditions

Each step is sent only if its condition holds when the step is due:

If the condition does not hold, the step is skipped and the sequence moves on to the next one.

Timing

A step's day is counted from when you sent the proposal. Declario checks for due steps once an hour, so an email goes out within about an hour of its due time.

Days are whole days, and the smallest is 1. The wait between two steps is the difference between their days, counted from when the earlier step was processed.

Variables

Three variables are replaced wherever they appear in the subject and the body of each email:

  • {clientName}the client's contact name, or "there" if it is empty
  • {senderName}the name of the person who created the proposal, or "The team"
  • {proposalTitle}the proposal's title

Any other text in braces is sent exactly as written.

When a sequence stops

  • The client signs or declines: the sequence is completed and nothing more is sent.
  • The proposal or its client is deleted: the sequence is cancelled.
  • Every step has been processed.

Submitting a proposal for approval, or approving it, does not start a sequence.
